Keeping records of office paper spendings.

Every senior manager is likely to be familiar with the situation when a user is calling the his employees and complains that the printer’s cartridge is run out. Or to bring the «good news» that it’s time to open a new box of paper. Doesn’t this sound familiar? If so, you must also be familiar with the feeling when it’s difficult to answer the boss’ question, «What did you spend so much paper on?» It’s unquestionable, the office paper and printer cartridges belong to the resources that are always necessary for normal functioning of the office. However, usage of these resources often remain unregistered.

To help this situation, we have developed the program called Printer Activity Monitor.

The program’s functionality is fairly simple. It consists of two parts — the printer monitoring module and the program for viewing data stored by the module in the database. Printer Activity Monitor is usually installed on a server where it runs continuously. The monitoring module is managed through the viewer program’s control panel.

Before getting started with the program, you must make some preparation. First of all, decide which printers (both local and network) are going to be monitored. Second, add all network printers to be monitored to the computer where the monitoring software is installed. This is carried out by adding the new printers to the Printers and faxes list:

Once all required printers are added, you can start the monitoring process. Start Printer Activity Monitor from the start menu. When the program’s main window appears, press the F9 key and jump to the Printers tab.

On the Printers tab, select the printers you want to monitor. On the Account tab, enter username and password of a Windows user who has enough privileges to work particularly with the network printers. Then click OK. The monitoring module will reboot and accept the new settings automatically. Now simply wait until users start sending jobs to the printers you have selected.

Once the users have printed all they wanted, you can see who and how much has printed, which documents were printed and what for.

Administrators that like keeping their hand on the pulse will appreciate the special function — «Refresh log every NN minutes. It can be toggled in the Settings menu.

The purpose of this function is to provide you with complete and actual information without making you to take any redundant actions. Simply enter the time period and watch. It’s really simple. Certainly, just like the other programs Printer Activity Monitor has all means for delivering its reports on using the office printers to the authorized personnel.
